Privacy Policy
This policy explains how Advendo Media LLC ("Realply", "we", "us") handles personal data in connection with the Realply service (the software that helps real estate agents answer and coordinate WhatsApp messages) and this website, realply.ai.
1. Who is responsible
Website visitors and our own customers' account contacts: we are the controller. Contact: Advendo Media LLC, 530-B Harkle Road, Suite 100, Santa Fe, NM 87505, USA, privacy@realply.ai.
Messages and contacts handled inside the service (for example the tenants, owners and buyers an agency communicates with): the real estate agency using Realply is the controller, and we process that data on its behalf and on its instructions as a processor, under a data processing agreement. If you are a client of an agency that uses Realply, please contact that agency first to exercise your rights; we will help them respond.
2. What data we process
Inside the service (on behalf of agencies)
- Contact details: names, phone numbers, email addresses, preferred language, and the role of a person (for example tenant, owner, buyer, contractor).
- Messages: WhatsApp messages sent to and from the agent's connected number, including text, photos, documents and voice notes, and transcripts of voice notes.
- Real estate data: properties, viewings, requests (such as repairs or permission questions), deals and the agency's notes.
- Records: which messages were drafted by AI, who approved or edited them, and when.
- Consent records: whether and how a person agreed to be contacted on WhatsApp.
Our customers' users
- Name, email address, login details (passwords are stored only as secure hashes), role, and settings such as approval preferences and notification channels.
Website visitors
- This website uses no cookies, analytics or tracking. Our hosting provider processes technical data such as IP address and browser type in server logs to deliver and secure the site.
- If you email us, we process your email and what you write to answer you.
3. Why we process it, and on what legal basis

We do not sell personal data, and we do not use the content of messages processed for agencies to train AI models. Our AI providers are contractually restricted from using that data to train their models.
4. AI and automated drafting
Realply uses AI models to understand messages, transcribe voice notes, translate, and draft replies. By default an agent reviews and approves each message before it is sent. An agency can choose to let some routine messages go out automatically; those messages are marked as written with AI. Topics such as prices, offers, contracts, payments and legal questions always require a person's approval. Realply does not make decisions with legal or similarly significant effects about individuals.
5. Who we share data with
We use the following service providers (sub-processors) to run Realply. They process data only on our instructions and under data protection terms.

We may also disclose data where required by law, or to protect rights and safety.
6. International transfers
Some providers process data in the United States. Where data from the EU/EEA is transferred outside it, we rely on the EU-U.S. Data Privacy Framework where the provider is certified, or on the European Commission's Standard Contractual Clauses, together with additional safeguards where needed.
7. How long we keep data
- Service data is kept for as long as the agency's account is active, or shorter where the agency sets a shorter retention period or deletes it. After an agency's account ends, we delete or return its data within 90 days, unless the law requires us to keep it longer.
- Media files such as voice notes and photos are kept only as long as needed for the conversation and the agency's records.
- Server logs are kept for a limited period for security.
- Emails to us are kept as long as needed to handle the conversation and any follow-up.
8. Security
We use encryption in transit, access controls, separation of each agency's data, audit records of every message sent, and an emergency stop that halts all automated messaging. No system is perfectly secure; if a breach affects personal data, we will inform the agency and, where required, the authorities and affected people.
9. Your rights
Under the GDPR you have the right to access, correct, delete, restrict or object to processing of your personal data, to data portability, and to withdraw consent at any time. You can stop receiving WhatsApp messages from an agency at any time by telling them, or by blocking the number.
For data processed for an agency, please contact that agency; we will support them. For anything else, write to privacy@realply.ai. You also have the right to complain to a data protection authority, for example the Spanish Agencia Española de Protección de Datos (aepd.es) or the authority where you live.
10. Children
Realply is a business tool and is not directed at children under 16.
11. Changes
We may update this policy. We will change the date above and, for significant changes, inform our customers in advance.
